Privacy Policy

Touchline ("Touchline", "we", "us") helps grassroots sports clubs manage their teams, schedules, and communication. This policy explains what information we collect through the Touchline mobile app and website (together, the "Service"), how we use it, and the choices you have. By using the Service you agree to this policy.

Information we collect

Information you provide

• Account details — your name, phone number and/or email address, and an optional profile photo, used to create and secure your account (we sign you in with one-time codes; we never store passwords).
• Club and roster information — team names, player names and details, guardian contacts, and similar information entered by coaches, club admins, or guardians to run their club.
• Activity content — events and RSVPs, announcements, chat messages, and other content you create in the app.
• Payment records — if your club uses payment requests, we store the request and its status. Card details are handled by our payment processor and never touch our servers.

Information collected automatically

• Device and usage data — device type, app version, push notification tokens, and basic logs (such as IP address and timestamps) needed to operate and secure the Service.

How we use information

• Provide the Service: schedules, rosters, RSVPs, messaging, and notifications.
• Sign you in securely and prevent abuse of the Service.
• Send service messages such as one-time sign-in codes and event notifications, according to your notification preferences.
• Understand aggregate usage so we can improve the product.
• Comply with legal obligations.

We do not sell your personal information, and we do not use the content of your messages or your children's information for advertising.

Children's privacy

Touchline accounts are for adults — coaches, club admins, and parents or guardians. Player profiles for children are created and managed by the club or by the child's guardian, and are visible only to that club's staff and linked guardians. We collect only what a club needs to run its teams, and we never use children's information for marketing. Guardians can review the information held about their child in the app, or contact us to correct or delete it.

How information is shared

• Within your club — roster, schedule, and message content is visible to the relevant team's members according to their role (for example, coaches see their team's roster; guardians see their own children).
• Service providers — we use trusted providers for hosting, SMS and email delivery, push notifications, and payment processing. They may process data only on our instructions.
• Legal — we may disclose information if required by law or to protect the rights, safety, or property of Touchline or others.

Data retention

We keep your information while your account is active or while your club uses the Service. When you delete your account — or ask us to — we delete or de-identify your personal data within 30 days, except where we're required to retain it (for example payment records kept for accounting or legal purposes).

Security

Data is encrypted in transit, access is restricted by role, and sign-in uses short-lived one-time codes rather than passwords. No system is perfectly secure, but we design for the principle that a small club's data should be at least as safe as it would be in a filing cabinet — and much safer than in a group chat.

Your rights

You can access and update your profile in the app. You can also email us at support@touchline.so to request a copy of your data, correct it, or delete your account — see Support for how account deletion works. Depending on where you live, you may have additional rights under local data protection law, and we will honor them.

Changes to this policy

If we make material changes to this policy we'll update the date at the top and, where appropriate, notify you in the app. Continued use of the Service after a change means you accept the updated policy.
